Core Focus

Order Taking, Payment & Credit Reconciliation

Built for a wholesale distribution business, this app runs the daily cycle of a distribution operation end to end: taking orders from retail customers, tracking what's owed against what's paid, and keeping cheque and credit payments from slipping through the cracks. The product catalog is fully configurable, so while this build is shown with a sample product line, the same order-and-reconciliation flow works for any distributor selling a fixed catalog to repeat retail accounts.

The Challenge

Three Problems We Had to Solve

01

A Moving Target Every Day

Product mix and quantities change customer to customer, and payments lag behind delivery, so there's no single fixed number to reconcile against.

02

Three Payment Types, One Ledger

Cash, cheque, and credit all need to be tracked separately without losing sight of who owes what.

03

Errors Pile Up at Scale

Doing this accurately by hand, across 200 customers and 50 products, is where errors and unpaid dues quietly pile up.

Modules & Features

What We Built

Six pieces covering the full daily cycle, from the morning dashboard to evening reconciliation.

01

At-a-Glance Dashboard

Customer List and Product List counts, a Today's Orders Reports shortcut, and a Total Cheque Payment checklist where pending cheques can be marked cleared as they come in.

02

Searchable Customer Directory

Every retail account is listed with a quick-scan avatar and direct access to that customer's order details and account history.

03

Product-Based Order Taking

Orders are built from a selectable product catalog covering the distributor's full product line. Because the catalog is configurable, the flow adapts to whatever a distributor stocks.

04

Automatic Order & Payment Math

Each order calculates line totals as products and quantities are entered, then rolls up into a Payment Summary showing Sub Total, Previous Payment, adjustments, and the final Payable Amount.

05

Credit & Verification Tracking

Extra or short payments can be logged as credit against an account and marked Verified, so running balances stay accurate.

06

Reconciliation Reports

Daily and monthly reports break down Bill Amount, Paid Amount, and the Difference per customer.

Design Philosophy

How the Interface Is Designed

The interface uses clean white cards with a warm amber/orange accent for primary actions — Save, Save & Next Order — which keeps the eye moving through what is otherwise a numbers-heavy interface. Color-coded avatar initials make long customer lists scannable, and every ledger-style screen keeps Bill Amt, Paid Amt, and Different Amt in consistent columns so it reads like an account book even on a small screen.
